Quotes
Price the work, send it, and get it approved without asking anyone to make an account.
A quote is a price you send a customer to approve. When they accept it becomes a job, and the job becomes an invoice. One record the whole way, so nothing is retyped and every figure traces back to what you quoted.
How do I build a quote?
- Select New quote from the Quotes tab, the Create menu, or the command palette.
- Pick the client. You can also type a name that is not a client yet, quoting a prospect is normal, and they become a client when they accept.
- Add line items. Picking from your saved services fills the price; you can override it.
- Optionally add a discount, a required deposit, tax, photos, files and a message.
- Select Save.
Nothing is written until you press Save. Opening the builder and closing it leaves no trace, no draft, no quote number burned.
Why can’t I save a quote?
A quote needs a client and at least one line with a price. The note under the Save button always names whichever is missing.
How does a customer approve a quote?
They open a link and press approve. No account, no password.
They type their name to approve, and that name is kept with the quote exactly as it stood at that moment. If your settings ask for a signature, the quote also shows a signature box.
Can I change a quote after it has been accepted?
You can, and narra tells you what it costs first.
Changing anything that affects the price. A line, a discount, a deposit, the client, clears the signature and returns the quote to Sent, because your customer agreed to the old figures. You confirm by name before that happens.
Renaming the quote or editing internal notes voids nothing. A title is not a term anyone agreed to.
Once invoiced, a quote is locked, edit the invoice instead.
What do the statuses mean?
- Draft: yours only. Nobody has seen it.
- Sent: the customer can open it.
- Changes requested: they asked for something different.
- Accepted: approved, ready to become a job.
- Declined / Canceled: closed without work.
- Invoiced: it became money owed, and is locked.
- Expired: past its Valid until date, so it can no longer be accepted. A price from four months ago is not a price.
- Archived: out of the working list without being deleted.
Does narra email the quote for me?
Yes, from narra’s sending domain with your business as the display name, your customer sees you, and replies come back to you. You do not have to connect anything.
To send from your own mailbox instead, connect Google in Settings → Connectors.
Can I reuse a quote?
- Create similar: copies an existing quote into a new one. Good for “the same again, slightly different”.
- Save as template: keeps a reusable shape for work you quote often.
Neither writes anything until you save the new quote.
How do deposits work?
Set a deposit on the quote as a percentage or a flat amount. The customer sees what is due up front, and when the job is invoiced the deposit already paid is credited against the total automatically. You never subtract it by hand.
How do I add a discount?
On the quote, toggle Apply discount and choose a percentage or a flat amount. It shows as its own line on the customer’s copy, so the arithmetic is visible rather than hidden in the prices.
How does tax work on a quote?
Toggle Apply tax and set a rate and a label. Tax is computed on the subtotal after any discount, and the label prints on the document so the customer knows what they are being charged.
What is “Valid until”?
The date the quote expires. After it, the customer can no longer accept. Narra refuses on their side, not just visually. Which stops someone accepting a price you set months ago.
It defaults to fourteen days and you can change it on any quote.
Can I attach photos or a document?
Yes. Photos of the site or the problem, and files such as a spec or a permit. Both appear on the copy the customer opens.
What is the client message for?
Free text the customer reads above the pricing, scope, assumptions, access notes, anything that stops a question coming back. It is part of the document, not an internal note.
Where do internal notes go?
The Notes field on the quote record. Those are yours: the customer never sees them, and editing them never affects a signature.
How do I mark a quote as sent if I sent it myself?
Use Mark as sent from the quote’s action menu. That records what you did. It does not send anything. narra never claims to have sent something it did not.
Can I see whether the customer opened it?
The quote records when it was last shown. That tells you the link was opened; it cannot tell you whether it was read.
How do I turn an accepted quote into a job?
Convert to job from the quote. The client, address, line items and any deposit come across, so the job matches what was agreed.
What is the quote number, and can I change it?
narra assigns one when you save, and numbers are never reused. You can set your own on the Quote # field if you keep a separate series, leave it blank and narra fills it.
What narra does not do
- narra does not chase quotes for you. There are no automatic follow-up reminders.
- There is no consumer financing or instalment option.
- A quote cannot offer the customer a choice between options or packages.
- Quotes cannot be imported in bulk.
