Who is doing what, when, and what they need to know before they pull up.
A job is one piece of billable work for one client. A visit is one time somebody turns up to do part of it. A weekly lawn cut is one job with a visit every week; a fence repair is one job with one visit.
Learn that distinction first, because money lives on the job and the calendar shows visits.
How do I create a job?
- From an accepted quote: client, address, lines and deposit come across. This path retypes nothing.
- From Jobs → New job.
- From the Calendar, which hands what you typed to the job form.
Every job belongs to a client. narra will not create one that belongs to nobody, because such a job cannot be invoiced and never appears in anyone’s history.
How do repeat visits work?
Set the job to recur and narra generates the visits ahead of you.
Changing the schedule changes the visits still to come. Completed visits keep what actually happened. They are a record, not a plan.
What cadences can I set?
Weekly, every two weeks, monthly, or a one-off. Set it on the job; the calendar fills in.
What is an arrival window?
The span you promise, “between 9 and 11” rather than “at 9:07”. It shows on the crew’s phone and on the customer’s page, so all three of you read the same promise.

How do I assign work to my team?
Assign a crew or an individual on the job or on the visit. They see only their own work on the phone, stops, address, window, scope and notes.
Can I plan the order of a day’s stops?
Yes. Route Planner puts the day on a map, lets you set the order, and saves it so the crew sees the same sequence.
How do I reschedule a visit?
Drag it on the calendar, or open it and change the date. Moving one visit of a recurring job moves only that visit.
What is a parked stop?
A visit taken off the calendar without being deleted. Work you intend to do but have not dated. It waits in the unscheduled list until you place it.
How do checklists work?
Attach a checklist to a job and the crew works through it on the phone. Completion travels back with the visit, so “done” means the steps were ticked, not that somebody said so.
Can I schedule something that is not client work?
Yes. A personal event. Van service, a day off, a supplier run. It occupies the calendar without belonging to a client and never becomes billable.
What happens when a visit is completed?
It stops being a plan and becomes a record: the time, the checklist, the photos and the notes are kept as they were. The job can then be invoiced.
How do I see what is unassigned?
The calendar and the jobs list both filter by assignment, so unassigned work is a filter rather than a hunt.
Can two crews work the same job?
Yes. Assign different visits of the same job to different crews. The job stays one record and one invoice.
How do I cancel a job?
Cancel it from the job’s action menu. Cancelling stops future visits; it does not delete what already happened, because completed work may already be billable.
Where do gate codes and access notes go?
On the client record. They travel to the crew’s phone with the visit, which is the only place they are any use.
What narra does not do
- narra does not optimise a route automatically end to end. You set the order.
- There is no GPS tracking of crew location.
- There is no automatic dispatch or nearest-available assignment.
- There is no drag-to-resize of a visit’s duration on the calendar.
