Clients & their page

Client records, leads, and the private page your customers get.

11 answers1 min readUpdated August 26, 2026

A client is someone you work for; a lead is someone who might become one. A lead becomes a client the moment they accept a quote.

What is the customer’s page?

A private link, one per client, showing their quotes, invoices and what is scheduled. No account, no password.

It is how a customer approves a quote or pays an invoice without you explaining anything.

How do I add a client?

From Clients → New client, or by typing a name into a quote or job. A name matching no existing client becomes one when you save.

Matching is case-insensitive, so “marcus deangelo” finds “Marcus DeAngelo” rather than creating a second record for the same person.

What is the difference between a lead and a client?

A lead is an enquiry you have not won. It carries a source so you can see which channels produce work. Accepting a quote converts a lead into a client, keeping the history.

Where do gate codes and access notes go?

On the client record, in Notes. They travel to the crew’s phone with the visit.

Can a client have more than one address?

A client carries a service address used for scheduling and routing. Work at a different address is set on the job.

How do I see everything for one customer?

Open the client record. Quotes, jobs, invoices, visits and notes are all on it, in one history rather than five searches.

How do I archive a client I no longer serve?

Archive them from the client record. They leave the working list without being deleted, so their history. And anything they still owe, survives.

Can I export my client list?

Yes, to CSV from the Clients list.

What does the client see on their page?

Their own quotes, invoices and scheduled visits. Nothing about your other clients, your costs, or your margins.

How do I record where a lead came from?

Set a lead source on the lead or quote. It carries through to the client, so revenue can be traced back to the channel that produced it.
